Other requirements:
- No spaces before or after: hyphens, underscores, periods.
- The Tacada date format is YYYY.MM.DD (Example: May 10, 2018 would be 2018.05.10). It is very important that dates follow this format.
- File Naming Conventions: Refer to the LST_Naming Conventions located in S:\Daytona Documentation\Lists\
Reason for these changes:
As we start synchronizing our files to Office 365 online, Internet rules do not allow for all characters on the keyboard to be used in file names that are hosted online and accessible over the web. By using only the characters listed above in all folder and file names, we are complying with the Internet rules, Microsoft best practices, and helping to future-proof ourselves so that additional folder and file naming procedures are less likely to need changing again in the future. ** Note: We will be synch'ing the S drive to SharePoint Office 365, but not the W drive.
QUESTIONS
Q1) Do employees need to rename existing folders or files in the S drive?
A1) No. Employees do not need to rename any existing folders or files. We are not correcting incorrectly named files except to remove disallowed characters if they contain them.
Q2) How will file names be changed after the I.T. department runs a program to rename files? Please provide some examples.
A2) Examples are listed below:
Dates in file names:
Dates in file names are supposed to be in the Tacada format of YYYY.MM.DD but that has not consistently been followed. If Dates are incorrectly listed in a filename, it will not be corrected. Please ensure the correct date format is used for all new created files.
If the old (current) file name contains a date of May 23, 2018, then after we run our disallowed character deletion script, it will change to the New File Name containing a date in the file name of May 23 2018. The file name should have been created in the first place containing a date format of 2018.05.23.
Customer Information in file names:
The NEW_ file name is what the file name will be named after we run a character deletion (and replacement) script.
The PROPER_ is how this type of file will be created in the future (which in this case is done by Pronto Forms, not a human).
